Seder
Defensible disciplinary outcomes, delivered on the day of the hearing.
A compliance-grade suite that takes a workplace incident from notice to chair-signed outcome — with the audit trail a CCMA referral and a POPIA officer will ask for, and the chair independence that makes the verdict defensible.
When an outcome is challenged, what saves the employer is procedure followed faithfully — and a record that proves it. Seder is built around that record.
Before
Pre-hearing preparation
Notice intake with a content-fairness audit. A pre-hearing review and gap list for the initiator. The statement of case and company representative hearing pack generated once the evidence base is sufficient.
During
Hearing-day support
The chair receives blank hearing minutes pre-populated with the case header and the charges quoted verbatim from the notice, plus a brief case summary. Nothing more.
After
Same-day outcomes
Scanned minutes are extracted by the system. Outcome document, final written warning form or dismissal letter, and employee outcome letter generated within minutes — ready for chair signature and same-day service.
The hearing lifecycle
Six steps, and the routing between them is structurally enforced.
1
Notice intake
The case administrator uploads the signed notice. The system audits its content against fairness checkpoints — date, time, place, code reference and the exact code description.
2
Pre-hearing review
A review and gap list are generated for the initiator. The chair never sees it. Routing of every system output is enforced by the system, not by anyone remembering the rule.
3
Statement of case
Generated once the evidence is sufficient, and tendered by the initiator to the chair at the opening of the hearing — the chair’s first sight of any system document.
4
Hearing-day minutes
The chair receives blank minutes carrying the case header and the charges verbatim from the notice. The handwritten record is the official one. All signature blocks are present regardless of attendance.
5
Scan and extraction
The administrator scans the chair’s signed minutes. The system extracts verdict, sanction, reasoning and any conditions; the administrator reviews and confirms before any document is generated.
6
Same-day outcome
Outcome document, final written warning or dismissal letter, and employee outcome letter generated within minutes. The chair signs the same day, the employee receives the same day, and the appeal window starts at receipt.
Procedural fairness as architecture. The chair has no system credentials. The pre-hearing review, statement of case, hearing pack and evidence pack never reach the chair before the hearing opens. The charge wording on the minutes is verbatim from the notice — no paraphrasing, no embellishment. Every system action is audit-logged in a tamper-evident chain.
Designed for defensibility
Nine elements, each answering a question someone will ask later.
Chair independence
Structurally enforced. No system access for the chair, and routing blocks delivery to the chair before the hearing opens.
Single operator
One role — the case administrator — operates the system. Procedural and substantive responsibility stay formally segregated.
Verbatim charges
The chair’s minutes carry the notice charge word for word. Notice to minutes to verdict, the chain holds end to end.
Same-day delivery
Outcome documents signed on the day of the hearing. The appeal window starts at the date of receipt by the employee.
POPIA alignment
Purpose limitation, retention rules, subject-access export and personal data minimisation built into the case data model.
Audit trail
Every upload, generation, send and download is timestamped, attributed and tamper-evident — exportable per case as a single PDF.
Scan and extraction
Paper remains the official record. The system extracts structured outcome data from the chair’s handwritten minutes, with administrator confirmation.
Corporate identity
Stationery, code references and forms catalogue configured per company profile.
No vendor lock-in
A vendor-agnostic adapter pattern over the extraction and recognition providers. No dependence on any single supplier.
Sector experience
Built where these matters are routine.
Mining, security services and industrial operations — environments where intoxicating-substance, absenteeism, sleeping-on-duty and desertion matters come up constantly.
Pressure-tested against real cases at mining and industrial sites, including in-absentia desertion and chair-directed retest conditions on final written warnings.
Engagement approach
01
Configure
Your disciplinary code, stationery and forms loaded into a company profile. Case administrator account provisioned. Typically one week.
02
Pilot
Two parallel cases run alongside your current paper process. Outputs and time-to-outcome compared side by side, with HR and legal sign-off.
03
Cutover
The case administrator goes live as sole system operator. Everyone else continues to receive paper exactly as before — only its production changes.
Works with Armiger-SEMS. Where SEMS is already in place, the disciplinary incident logged against a member’s record is the same matter Seder takes through to a signed outcome — one workforce, one member record, one audit trail. See Armiger-SEMS.
